One booking notebook, three people writing in it

A twenty-room hotel with three front-desk shifts. Bookings arrive by phone, by chat and from walk-ins, and every one goes into the same notebook. The morning shift writes it down, the afternoon shift misses it, the night shift checks another guest into the very same room. At month end the owner adds up every line by hand to learn whether the hotel made money — and is never sure the number is right.

Story 2 · Software in place, but fragmented

One program at reception, a spreadsheet in the restaurant, a ledger in the storeroom

The hotel bought property-management software years ago. But the restaurant bills in Excel, the storeroom keeps a paper ledger, and breakfast charges are copied to room folios by hand. Every figure lives in two or three places and they never agree. The software does not run on a phone, has no user roles, and adding a single report means waiting on the vendor — sometimes forever.

Story 3 · The gaps manual work leaves open

When nobody knows who changed which number

Manual work is not just error-prone — it leaves gaps. A guest pays cash and the receipt is never recorded. A room is sold "off the books" to a regular. An invoice is edited after the guest has left. Stock keeps shrinking and nobody can say on which day or which shift. The owner senses something is wrong but has no evidence, only suspicion — and suspicion corrodes a team.

The System Administration module enforces fine-grained roles — reception cannot change rates, cashiers cannot delete invoices — and keeps a complete audit log: who did what, when, on which record. Every transaction can be exported to a report for reconciliation. When the numbers are exact to the transaction and the room-night, managing people becomes management again — not suspicion.

Story 4 · Many properties, many ways of working

The consolidated report arrives by chat message every night

A group of five or seven properties, each run the way its local manager is used to. Every evening the managers send photos of their revenue sheets into a group chat; head-office accounting retypes them into one file. The group owner sees yesterday's numbers, not today's, and cannot compare one property with another because each defines "revenue" differently.
